General
 


At the CMV Group, we have over 1,900 employees that are at the very heart of what we do every day. For each and every one of those individuals, there are a broad range of Payroll, People and Culture (P&C), and management functions that occur during their time with us; recruitment and onboarding, timesheets, payslips, training, performance reviews and development plans, leave applications and approvals… to name just a few!

Dayforce is a powerful new system that allows us to streamline and integrate many of these processes, while also giving employees more access to their information and resources about their employment.


Dayforce is our new Payroll system, replacing Preceda.

It will:

  • collect all time and attendance records.
  • be where you go to apply for any form of leave.
  • house your important personal financial details (Bank, Tax, Superannuation etc).
  • house your important work-related documents (licenses, visa rights etc).
  • manage recruitment and onboarding of all new employees. 
  • facilitate employees applying for internal roles.


And coming soon...

  • It will manage our new performance management and review process. 
  • It will manage our Learning and Development program. 
  • It will allow employees to participate in company and departmental surveys. 
  • It will be a Corporate Message Centre, enabling CMV and managers to message employees directly.


While our existing Preceda systems have served us well to date, it has come time to upgrade to ensure that we can best integrate these processes into the future, and provide employees and managers with a more informative, powerful and accessible tool as the company continues to grow.

Dayforce will be a vital instrument in lifting the quality of our P&C and Payroll systems and a much better employee experience. As an employee, you will have far greater visibility and control over the data that relates to you, in terms of both your personal and employment information. Managers will also have a powerful tool at their fingertips that will streamline and standardise how they manage their teams.

We’re replacing manual and paper processes with contemporary online workflows, which will make tasks for employees, managers, and our P&C and Payroll teams more efficient.

Dayforce will also streamline how new employees join our company, from the point of submitting an application online, through to employment contracts, onboarding and engagement, all guided by workflows and reminders.

Your Change Champion (or Champions), are there to assist you in the move to Dayforce. If you have any questions or issues with things such as logging into Dayforce, accessing the app or updating your details, your Change Champion can help.

They have attended additional training sessions to build their system knowledge to support their colleagues and team members with troubleshooting issues.

Change Champions will also issue applicable employees who will use the Dayforce wall clocks with their Dayforce swipe cards. They will keep a register so these can be then bulk loaded back into Dayforce.

They will also enrol applicable* employees into the Dayforce clocks. 
*Applicable employees will be those award covered employees who do not work from a terminal/desktop.

The Dayforce app will allow you to manage your work life on the go!

As a CMV Group employee, you will be able to view:

  • Scheduled work times
  • Clocked times
  • Pay slips
  • Leave entitlements
  • Messages from your Manager
  • View your Performance Goals and update your progress
  • Submit forms for Payroll changes e.g. Voluntary Superannuation Contributions, Staff Foundation Deduction, Tool Account Deduction, Direct Deposit etc


Through the Dayforce app, as an employee you will be able to request:

  • Annual leave
  • Personal leave (sick, carers, bereavement etc.)


We will not be moving over historic employee pay statements/history or Earning Statements (for tax) to Dayforce.

Due to the change over to Dayforce, there will be a period in which you won't be able to view your leave balances.

You will be able to view you leave balances from Monday, May 6.

All leave will still need to be applied for through Dayforce during this time.

Managers

As a manager, Dayforce will:

  • Provide you with visibility across your team, where you can view personal, performance and compliance information.
  • Notify you when your attention and action is required, both on your desktop and through the app.
  • Show you upcoming compliance expiries for your team, such as licences, qualifications etc.
  • Help you to make more informed people decisions by showing you a dashboard of real time data about your team.
  • Reduce the majority of our paper forms with workflows, quickening approval processes.
  • Help you to engage in more high value managerial and leadership work by using automated workflows and increasing efficiencies.


Workforce Management refers to the activities related to:

  • Time and Attendance
    • The creation of work schedules, capturing clock in/out data, approval of timesheets and creation of payroll payments to employees
  • Time away from work
    • The request, submission, approval and recording of time away from work be that annual leave, sick leave, personal leave, bereavement leave etc


Once timesheets are approved by the manager they flow directly into the payroll process, there is no further review or check process. Errors or omissions on time sheets will flow directly to employees pay.


Logging in to Dayforce
 


To enhance the security of the Dayforce app for all users, Single Sign On (SSO) has been introduced for all employees. This will involve using DUO security to create a ‘trusted device’ status for employee phones and laptops.

You will need to use your CMV Group email to log into Dayforce and the password you use to log in to your computer, or the password you set up with IT.

Clocking in/out
 


Modern awards require employers to keep a record of all hours worked by employees whose roles are covered by an award. This is regardless of whether they are paid hourly or monthly. Hence all award covered employees will need to clock in/out. For the first time this will include the majority of non-management administration and sales employees. Please refer to the below and if you're not sure if you need to clock in/out, speak with your direct manager.

Service & Parts Departments

  • All non-managers will be required to clock in/out every day
  • Office employees will clock via their desktop/laptop
  • All ‘non-office employees’ will clock in/out using the Dayforce wall clocks.
  • In some restricted instances, employees who start work or finish work away from their site will be approved by their manager to clock in/out via their Dayforce App on their phone. Ie. Breakdown Ban technicians, Apprentices on training.
  • Note in some of our smaller Fleet Maintenance workshops clocking will be done using a Dayforce tablet, or via a web browser on a shared PC.

 

Sales & F&I Departments

  • All award covered employees will be required to clock in/out every day
  • All employees will clock in/out via their desktop/laptop
  • In some restricted instances, employees who start work or finish work away from their site will be approved to clock in/out via their Dayforce App on their phone.
  • Managers will only need to create schedules for hourly paid employees.

 

Administration Departments

  • All non-managers will be required to clock in/out every day
  • All employees will clock in/out via their desktop/laptop
  • In some restricted instances employees who start work or finish work away from their site will be approved to clock in/out via their Dayforce App on their phone
  • Managers will only need to create schedules for hourly paid employees

 

Farms

  • All non-managers will be required to clock in/out every day
  • All employees will clock via the office desktop/laptop or via a Dayforce tablet (managers will advise)
  • In some restricted instances, employees who start work or finish work away from their site will be approved to clock in/out via their Dayforce App on their phone.

 

Factories & Processing Plants

  • All non-managers will be required to clock in/out every day
  • Office employees will clock via their desktop/laptop
  • All ‘non-office employees’ will clock in/out using the Dayforce wall clocks.
  • In some restricted instances, employees who start work or finish work away from their site will be approved to clock in/out via their Dayforce App on their phone.
  • Note in some of the smaller locations clocking will be done using a Dayforce tablet, or via a web browser on a shared PC.


The CMV Group is required to be able to prove that all employees who have had their hourly award rate converted to an annualised salary are ‘better off’ than if they were being paid the award minimum hourly rate. To do this we are required to capture hours worked.

Actual hours worked will not affect monthly or annualised pay unless a future reconciliation indicates employees fell below this ‘better off’ level.


All award covered employees will need to clock in and out each day.

Employees not working from a terminal or desktop will clock on/off using the wall mounted Dayforce clocks in your area. Employees will select the action (start/end shift), swipe proxcard (or manually enter the card number) and then smile for a quick photo to prove their identity.

Employees working from a terminal or desktop will clock in/out via the Dayforce web browser.

Employees working in very small sites will use a tablet clock or the web browser.

In some very limited cases, employees working away from their normal site will clock on/off using their Dayforce phone app. Manager approval is required for this clocking.
